Commercial Master Key Simplification — Alberton
How a small business simplified its key management with a master key system.
The Situation
A small logistics company occupying a combined office and warehouse space in the Alberton commercial area contacted us with a specific frustration: their management team carried an unwieldy bunch of keys — one for the main entrance, one for the accounts office, one for the server room, one for the warehouse, and one for the back gate. Staff had different subsets of keys depending on their role. Nobody was quite sure how many copies of each key existed.
The business owner wanted to simplify this: management should have a single key that opens everything; different staff should have keys that open only what they need access to.
What We Found
The premises had seven keyed locks in total: main entrance deadbolt, accounts office, HR office, server room, warehouse access door, warehouse back door, and the external gate padlock. The locks were a mix of brands and ages. Three were worth keeping; four were worn or budget-grade and needed replacing as part of the installation.
The access hierarchy was straightforward: two management keys that open everything, and three staff keys on different sub-access levels (accounts staff open only the main entrance and their office; warehouse staff open the main entrance, the warehouse doors, and the gate).
What We Did
- We supplied and fitted four new cylinders compatible with the master key system, and repinned the three existing cylinders that were in good condition.
- We pinned the system to the required key hierarchy: master keys open all seven locks; sub-keys open only the designated subset.
- We cut the required keys: two master keys, three management keys, and four staff keys across the two access levels.
- We provided a key register documenting which key opens which locks, and who holds each key.
- We tested every key in every applicable lock before leaving.
Outcome
The business owner noted that the installation cost less than they had expected, particularly considering the reduction in per-person key complexity. The management team went from carrying five keys each to carrying one. Staff access is now clearly defined and documented.
Since the installation, the company has rekeyed the system once — after a staff member in the warehouse team left. This took approximately two hours and cost significantly less than the initial installation.
Key Points
A master key system is not just for large organisations. Any business with more than three or four separate keyed areas, and more than one or two key holders, benefits from the simplification. The ongoing maintenance — rekeying when staff change — is straightforward and inexpensive compared to the security gaps that accumulate when keys are not tracked.
